Rent receipts that hold up

Cash always gets a receipt

Cash leaves no bank trail. The receipt is the only record either of you has, and many jurisdictions require one.

Number every receipt

Sequential numbers make a missing or duplicated receipt obvious, and give you a clean reference if a tenant disputes a month.

Write down the balance

On partial payments, the remaining balance on the receipt prevents the most common landlord-tenant argument: what is still owed.

A receipt is not bookkeeping

The receipt goes to the tenant. You still need the payment in your books against the right property and month — that is what your Schedule E is built from.

More free tools: late rent notice, Schedule E worksheet, late fee calculator and prorated rent calculator.

Receipts that send themselves

Record a payment once — Rentwelly emails the tenant a receipt and posts it to your books. Free forever for up to 2 units.

FAQ

Rent receipts — FAQ

What should a rent receipt include?+

At minimum: the date of payment, the tenant's name, the amount paid, what it was for (rent, deposit, late fee), the rental period it covers, the property address, the payment method, and the name or signature of the person who received it. Adding a receipt number and any remaining balance makes it far more useful if there is ever a dispute.

Am I required to give tenants a rent receipt?+

In many places, yes — particularly for cash payments. New York, for example, requires a written receipt for rent paid by cash or any method other than a tenant's personal check, and several other states and cities have similar rules. Even where it isn't required, a receipt is the simplest evidence you have that a payment happened.

Can I give a receipt for a partial payment?+

Yes, and you should. Choose "Partial rent payment" and fill in the balance still owed so both sides have the same number in writing. Be aware that in some states accepting partial rent can affect an eviction already in progress — check your local rule before accepting one in that situation.

Is a digital PDF receipt valid?+

Generally, yes. An emailed or texted PDF is a written receipt. Keep your own copy — a receipt only helps you if you can produce it later.

How do I stop writing receipts by hand?+

Collect rent through software that issues the receipt automatically when the payment lands. Rentwelly emails a receipt to the tenant and records the payment in your books at the same time, and it is free for up to 2 units.
